What Is a Request for Quote?

A Request for Quote (RFQ) is a formal inquiry submitted by a buyer to a packaging manufacturer asking for pricing and production details on a specific packaging project. The RFQ provides the manufacturer with the information needed to calculate material costs, setup requirements, tooling charges, and per-unit pricing. A well-prepared RFQ leads to faster, more accurate quotes and reduces back-and-forth during the estimating process.

In the corrugated packaging industry, the RFQ is the starting point for nearly every new custom box project and many reorder situations where pricing needs to be updated.

What to Include in Your RFQ

The more complete your RFQ, the faster and more accurate the quote you receive. Essential information includes box dimensions (inside length, width, and depth), box style (RSC, die-cut, folder, or other), board grade and strength requirements (ECT or Mullen rating), printing details (number of colors, coverage, and artwork availability), and order quantities at one or more levels.

Additional details that improve quote accuracy include the product being packaged (weight, fragility, sensitivity), shipping and storage conditions, any retail compliance or ISTA testing requirements, desired delivery location and schedule, and whether you need prototypes or samples before committing to production. Including a spec sheet or CAD drawing from a previous supplier, if available, is also extremely helpful.

What to Expect After Submitting an RFQ

After receiving your RFQ, our estimating team reviews the requirements and may reach out with clarifying questions. The quote you receive will typically include a price per thousand (Price/M) at each requested quantity level, any one-time tooling or die charges, estimated lead time for first production and subsequent reorders, and notes on board grade, construction, and any design recommendations.

Tips for a Successful RFQ Process

Request pricing at multiple quantity levels to understand how volume affects cost. Be specific about your strength requirements rather than over-specifying, which can inflate costs unnecessarily. If you are open to the manufacturer’s recommendations on board grade or box style, say so — experienced corrugated engineers may suggest alternatives that perform better or cost less than your initial concept.

For ongoing packaging programs, mention your interest in blanket order arrangements, which can unlock better pricing through annual volume commitments.
